Standing Orders

 


Australian Chapter. • Constitution. The constitution of the International Fellowship of Motorcycling Rotarians titled, “Constitution of the Fellowship”, shall take precedence over the Standing Orders where any differences exist.

• Board Members . The following members shall form the governing board of the Australian Chapter. Their titles will be; President, Secretary, Treasurer, Publicity Officer, Registrar, Liaison Officer and Technical Director.

• Duties of Chapter board members . The duties of the Board Members shall be those described below;

• President. It will be the duty of the President;

• To supervise meetings of the Chapter and perform such other duties as ordinarily pertain to the office;

• To co-ordinate the activities of the other Board Members;

• To initiate and develop strategies to further the aims of the Chapter.

• To appoint Field Officers on the basis of one for at least one for each Rotary District.

• To submit a report each quarter for inclusion in the Newsletter.

• Secretary . It shall be the duty of the Secretary to;

• To keep the records of attendance at meetings, send out notices of meetings, record and preserve the minutes of such meetings;

• To prepare the required reports to the International Board of Directors;

• To prepare the agenda for email board meetings under the direction of the President, and circulate it to board members;

• To accept applications for new membership and to reply to the new member within 14 days with, a letter of welcome, a recent copy of the Chapter Newsletter and a receipt for the first fees paid including a statement of when the next payment will be due,

• To advise the Registrar and Treasurer of the new member details.

• To prepare and submit a monthly report on activities to the Chapter Board.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• Treasurer. It shall be the duty of the Treasurer;

• To collect and bank the annual dues set by the Board of Directors together with any fees deemed necessary for the successful operation of the regional Chapter;

• To have custody of the Chapter funds;

• To bank all such money in the name of the Chapter;

• To account for same to the Chapter and Fellowship annually and at any other time upon demand by the Chapter or International Board;

• To turn over to their successor upon retirement from office, all funds, books of accounts or any other Chapter or international Fellowship property in their possession.

• To prepare and submit a monthly report on activities to the Chapter Board.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• Publicity Officer. It shall be the duty of the Publicity Officer;

• To collect relevant information on Chapter activities and forward for this for inclusion in the international Fellowship Newsletter;

• To perform all regional publicity for the Chapter;

• To co-ordinate, publish and distribute a minimum of one, and preferably four, Newsletters per year to all Chapter members, having the deadline for submitted articles two weeks prior to publication.

• To advise members of their subscription due dates by way of notice on the newsletter address sticker or equivalent.

• To promote IFMR chapter and international activities throughout the Australian Chapter.

• To establish and maintain an Internet web site for the IFMR Australian Chapter.

• To maintain the IFMR Australian Chapter web page on the IFMR international web site, such web page to contain the following minimum information,

Objectives of IFMR

The achievements of the Australian Chapter in relationship to its objectives

Planned rides and fellowships

Forthcoming events and major tours

• To prepare and submit a monthly report on the activities of the Publicity Officer to the Chapter Board.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• To notify each member, by whatever means is practical, of the Chapter AGM, two months prior to the date of the AGM.

• To ensure that a Membership Directory is distributed to members at least once per year, preferably with the last Newsletter prior to the AGM, or with the AGM notification to members.

• Liaison Officer. It shall be the duties of the Liaison Officer;

• To supervise and coordinate the activities of the Field Officers.

• To ensure all relevant information on activities in the Chapter Districts are coordinated and disseminated to ensure all members are aware of Chapter District activities.

• To encourage Chapter Districts to undertake rides for members in their areas.

• To promote membership for both current and potential members.

• To prepare and submit a monthly report on activities to the Chapter Board.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• Registrar. It shall be the duty of the Registrar;

• To maintain an accurate record of all Chapter members including names and addresses, telephone and fax numbers, email addresses and motorcycle details where available;

• To forward a membership list to the International Fellowship Board Registrar in time for inclusion in the annual International Membership Directory;

• To provide a Chapter Membership Directory to the Publicity Officer for inclusion in the Chapter Newsletter once each year, such Member Directory to contain the following information,

Members name

Address and telephone details

Rotary Club and District

Particular interests such as touring, restoration

The following optional information;

Partners name

Occupation

Email address

• To prepare and submit a monthly report on activities to the Chapter Board.

• To provide the necessary information on membership dues to the Publicity Officer for inclusion on the newsletter sticker or equivalent.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• Technical Officer. It shall be the duty of the Technical Officer;

• To advise the Chapter board members of any matters of technical interest;

• To consider and make recommendations concerning projects submitted to the Chapter;

• To obtain information on proposed honorary members;

• To assist the international Technical Director.

• To prepare and submit a monthly report on activities to the Chapter Board.

• To submit a report each quarter for inclusion in the Chapter Newsletter.

• Field Officers.

• Field Officers may be appointed by the President on the basis of one for each Rotary District.

• It shall be the duty of a Field Officer,

• To report to the Liaison Officer.

• To submit a report to the Newsletter Editor, two weeks prior to publication, for inclusion in each Chapter Newsletter.

• To maintain a register of Chapter Members and prospective members within the District.

• To prepare and carry out a program of IFMR promotion within the District with the assistance of the Liaison Officer and the Publicity Officer.

• To organise member rides and coordinate activities between different IFMR ride groups in the District.

• Board Meetings.

• The IFMR Australian Chapter shall hold one board meeting each calendar month.

• Board meeting may be actual meetings or be carried out by email or other communication methods as agreed to by the Board.

• Board meetings shall commence on the 1st of each month unless otherwise agreed in advance by the Board.

• If there is no business or no motions to be considered in any one month then the meeting may to be cancelled by the President.

• The procedure of each meeting shall be as follows,

• Items for discussion must be raised prior the commencement of the meeting.

• The meeting will commence with a discussion of each item.

• Any board member may present a motion to be considered by the board.

• Voting will be called for on each motion once the discussion has been carried on for at least 3 days but no longer than 7 days

• Once voting has been called for no further discussion will be allowed.

• Board Members can either vote for, against or abstain on any motion.

• The President will nominate a closing date for the meeting.

• Once the voting has closed the secretary will issue all board members with the minutes of the meeting.
